ADMINISTRATIVE AND ACCOUNTS ASSISTANT

Supporting the management team, you will play a central role in coordinating activities, managing accounts, handling administrative follow-up for worksites, and liaising with internal and external stakeholders.

MAIN RESPONSIBILITIES:

  • Manage the management’s schedule, organize meetings (technical, administrative, or strategic), prepare agendas and write minutes.
  • Welcome and direct visitors (clients, partners, service providers) and handle telephone reception in a professional manner.
  • Accounting management support: collect supporting documents, enter invoices, prepare documents for accounting, reconcile statements or tracking spreadsheets.
  • Data entry and updates in internal business software (ERP, technical project management tools).
  • Ensure administrative follow-up of projects: creation and management of files, administrative authorizations, permits, regulatory documents, plans, etc.
  • Participate in budget monitoring for projects (orders, invoices, dashboards) and management of performance indicators (progress, costs, deadlines).

DESIRED PROFILE:

  • Bachelor’s degree or equivalent (2-3 years post-secondary)
  • Proven experience in a similar role, ideally in a technical environment (construction, public works, engineering, etc.).
  • Proficiency in office software (Excel, Word, Outlook) and business software (ERP, project tracking software or document management systems).
  • Rigor, organizational skills, professional discretion, and autonomy.
  • Excellent written and oral communication, team spirit, ability to handle multiple tasks simultaneously.
